# Adding Accounts

There are **two ways** to create new **Accounts**:

## (1) Manual Input:

Click on ➕**Add New** at the bottom of any group to create a new **Account** . Each **Account** acts as a **Jira work item** , holding all the key details such as *Contact* , *Domain* , *Deals* , *Industry* , *Description* , and *No. of Employees*.

  * Once your file is uploaded, you will be prompted to **map your columns**. This step ensures that the data from your CSV file is correctly assigned to the corresponding fields in Sales \& CRM.

### **What is an Index Column?**

The **Index Column** represents an Account's main identifier and will appear as the summary of your Jira work item. Ideally, it should be mapped with the**Account Name** column in your CSV file.

# Creating A New CRM Project

Once your work types are configured, the next step is to create a **CRM project**. A CRM project functions as an actual Jira business project, providing dedicated CRM boards for managing your data. This means you can use all Jira features --- boards, workflows, reports, and permissions --- while also managing CRM-specific items.

## Start a New Project

On the Sales \& CRM homepage, click ![image-20250902-165756.png](https://docs.devsamurai.com/__attachments/a_419f094e111def5c52fdf8d771b75a0ea4a2dc23d15d4180b20e5cb4ae674db3/image-20250902-165756.png?cb=5c49cbef51ca03bc902ff8ef305da235) . This opens a setup dialog where you'll define your project details, including:

* **Project Name** -- Enter the name of your CRM project (e.g., *Sales Team Pipeline*).

* **Project Key** -- A short, unique key that will prefix all issue IDs (e.g., *Sales Team Pipeline* → *STP*).

## Begin Managing CRM Data

Once created, within the project, you'll find **four dedicated CRM boards** that align with your work types:

The **Email Integrations** feature in Sales \& CRM for Jira allows you to connect your Gmail or Outlook account and send emails directly from the app.

By integrating your email, you can:

* **Send and receive emails** without leaving Sales \& CRM for Jira.

* Maintain consistent communication by applying custom email signatures.

Sales \& CRM currently supports integrations with:

* **Gmail**

* **Outlook** coming soon

Once connected, your emails become part of your CRM workflow, ensuring all communication is tracked and visible within Jira.  
You can send up to 2000 recipients a day.

## How to Integrate Sales \& CRM for Jira with Email Systems

### Step 1: Open the Integrations Menu

### Step 2: Navigate to Integration Settings

You will be navigated to the **Integration Settings** page for the selected email system.

* For Gmail → Click **Connect new Gmail account**.

**Email Templates** in Sales \& CRM for Jira let you save and reuse pre-written messages, making your communication faster, more consistent, and easier to personalize across your team.

## Create a Template

Start by creating a new email and writing the email body as you normally would.

To personalize your message, use **merge tags** from the `{}` **Columns** menu in the email editor. This allows you to personalize emails with names, companies, deal details, and more.

* Each merge tag represents a column from your Sales \& CRM board

* When the email is sent, Sales \& CRM automatically pulls in the matching values from those columns

Only **Jira Site Administrators** or **Project Administrators** have permission to customize the Lead and Deal workflows.

In Sales \& CRM, **Lead** and **Deal** **workflows** help you track potential customers and opportunities through different stages. While the **Lead Workflow** tracks unqualified prospects, the **Deal Workflow** tracks formal sales opportunities as they move through a structured sales pipeline.

## What is a Lead Workflow in CRM?

A **Lead Workflow** tracks the early stages of a potential customer's journey. At this point, **Leads** are prospects that have not yet been fully qualified. The primary goal of the Lead workflow is to evaluate whether these unqualified prospects should be converted into **Contacts**---individuals who have shown interest and are actively engaged with your sales team.

Typically, a lead will move through the following stages:

1. **New**: The lead is newly created, and no contact has been made yet.

2. **Attempted to Contact**: Initial outreach has been made, but no response or further engagement has occurred.

3. **Contacted**: The lead has been successfully contacted and is now in discussions with the sales team.

4. **Closed** (Qualified/Unqualified): After evaluation, the lead is either qualified as a sales opportunity or disqualified.

## What is a Deal Workflow in CRM?

A **Deal Workflow** represents the stages of your **sales pipeline** . Once a lead has been converted into a **Contact** and has shown potential, they are turned into a **Deal** ---a formal sales opportunity. The **Deal Workflow** tracks the progress of the deal through the sales pipeline, from initial discovery to negotiation and ultimately to closing.

Typically, a deal will move through the following stages:

1. **New**: The opportunity is newly created. This stage marks the initial stage where the deal is being evaluated.

2. **Discovery** : The sales team works with the **Contact** within the **Account** to understand their needs and challenges.

3. **Proposal**: The team presents a proposal, outlining the solution, pricing, and terms.

4. **Negotiation**: Discussing the expansion or reduction of the scope of work, adjusting pricing, and managing expectations to reach a final agreement.

5. **Closed** (Won/Lost): The deal is either won (successful sale) or lost (due to reasons such as competition or budget).

## Customizing Deal or Lead Workflow in Sales \& CRM

### 1. Accessing the Workflow Configuration page

You can customize your **Deal Workflow** or **Lead Workflow** in the **Workflow Configuration** page.

This section allows you to add, edit, or remove workflow stages to better align with your organization's sales process.

There are 02 ways to visit the **Workflow Configuration**page:
Approach 1: Editing the Status field inside a Lead or a Deal  
Since each status of a Lead or Deal represents a stage in the workflow, you can edit the workflow directly from a record:

* Click on a Lead or a Deal to open its **Details** page.

* Locate the **Status** field.

* Click on the current status to open the dropdown menu.

* At the end of the list, click the **Edit** **Status** button.

* You will be redirected to the **Workflow Configuration** page.

# Manage Accounts

The **Accounts board** is where you manage **the organizations** that you do business with. Each Account is treated as a Jira work item of type :SalesForge_Account: **Sales \& CRM Account**, and you can track its details, activities, and progress through the sales cycle.

On the **Accounts** **board**, you can:

## 1. Filter \& Customize Accounts Board

### 2. Categorize Accounts by Groups

**Groups** help you organize your **Accounts** into logical categories for better management. You can create groups based on region, account, campaign, or any category that suits your workflow.

  * **Change Color** -- Assign a different color to the group for easier visual distinction.

  * **Delete Group** -- Remove the group entirely. *Note: deleting a group will also delete all Accounts contained within that group.*

### 3. Track Key Information

Each **Account** row provides key information, such as:

* **Account Name**: The name of the company or organization.

* **Contacts** : The individuals associated with this **Account**.

* **Domain**: The company's website or domain name.

* **Deals** : The active sales opportunities linked to the **Account**.

* **Industry** : The sector or industry in which the **Account** operates.

* **Description** : A brief description of the **Account'**s business.

* **Number of Employees** : The size of the **Account'**s organization, helping you gauge the scale of the opportunity.

#### The Relationship Between Accounts, Contacts, and Deals

**Accounts** are typically organizations or companies you are doing business with, while **Contacts** represent individual people associated with those Accounts. Each **Deal** represents a sales opportunity that is tied to both a Contact and an Account.

In Sales \& CRM for Jira:

* **Accounts** are the main entity under which you associate **Contacts** (the individuals).

* **Deals** are linked to both the Account and its respective Contact, ensuring all sales opportunities are clearly tracked.

#### 3.1. Add More Columns to the Accounts Board

If additional information is required, you can add more columns:

The **Contacts board** in Sales \& CRM allows you to track and manage your converted **Leads** as **Contacts** after they've been qualified. It is designed to maintain detailed records of your contacts, their activities, and other associated information, such **as accounts** and **Deals**.

* **Account:** The **Account(s)** that each **Contact** belongs to.

* **Email / Phone**: Contact details for outreach.

* **Deal:** Shows the active**Deal(s)** associated with the **Contact**.

* **Title**: The role or job title of the Contact (e.g., Marketing Director, Sales Executive).

* **Type**: Specifies the Contact type (e.g., Qualified Lead, Partner).

* **Priority**: The priority level of the Contact.

* **Comments**: Add additional comments about the Contact's history or relevant details.

#### Relationship Between Contacts, Accounts, and Deals

In Sales \& CRM for Jira, **Contacts** , **Accounts** , and **Deals** are interconnected to ensure data consistency between records.

When you **add an Account or a Deal to a Contact** , the relationship is **mutually linked**:

* The **selected Account** will automatically include this **Contact** under its ***Contacts*** section.

* The **selected Deal** will also record this **Contact** as its *primary contact person*.

#### 3.1. Add More Columns to the Contacts Board

If you need additional details about your Contacts, you can add more columns to your board:

The **Deals Board** in Sales \& CRM for Jira helps track and manage sales opportunities from initial engagement to closure. **Deals** represent the active sales opportunities associated with your **Accounts** and **Contacts** , and they serve as the central point for managing the sales pipeline. Each **Deal** is treated as a Jira work item of type :SalesForge_Deal: **Sales \& CRM Deal**.

* **Contacts** : The **Contact** associated with the deal, which represents the individual working on the deal or leading the negotiations.

* **Account** : The **Account** (organization) associated with the **Deal** . The **Account** provides context and helps link multiple **Deals** to the same organization.

* **Deal Value** : The potential monetary value of the **Deal**.

* **Expected Close Date**: The anticipated date of closing the Deal.

* **Close Probability** : The likelihood of the **Deal** closing successfully.

* **Forecast Value** : An estimated value of the **Deal** based on current information.

#### The Relationship between Deals, Contacts, and Accounts

Typically, a **Deal** represents a sales opportunity, involving negotiations or discussions about products or services. **Deals** are directly tied to both an **Account** (the organization) and a **Contact** (the person within the organization).

In Sales \& CRM for Jira:

* **Accounts** represent the organization with whom you're doing business.

* **Contacts** represent the individuals you're working with in that organization.

* **Deals** represent the specific sales opportunities or projects being discussed with that **Account** and **Contact**.

*For example,* if your company is negotiating a **CRM Upgrade Package** with **TechHorizons Inc.** and **Michael Clark** (the decision-maker), the **Deal** would track the details of this sales opportunity, including the **Deal Value** , **Expected Close Date** , and the **Current Stage** of the deal.

The **Leads board** offers an overview of each Lead's details by offering info columns. For example:

* **Company**: The organization associated with the Lead.

* **Title** : The role or job title of the Lead (e.g., *Marketing Manager* , *Sales Director*).

* **Email / Phone**: Contact details for outreach, such as the Lead's email address and phone number.

#### 3.1. Add More Columns to the Leads Board

If you need additional details about your Leads, you can add more columns to your board:

  * **Select a Unit:** Choose a preset symbol (**$** , **€** , **£** , **%** ) or select **Type your own** to add a custom label (e.g., `cm` or `seats`).

  * **Set Position:** Choose **L** (Left) to place the unit before the number (e.g., `$50,000`) or **R** (Right) to place it after (e.g., `75%`).

  * Click **Save** to apply the changes.

The selected format will be applied instantly to all values in that column.

#### 3.3. Move a Lead to Contacts

Once a **Lead** has been qualified and is ready to move forward in the sales process, you can convert it into a :SalesForge_contact: **Sales \& CRM Contact** . This allows you to track the Lead's progress as a Contact, and associate it with an **Account** and **Deal**.

On the Leads board:

* Find the **Lead** you want to move to Contacts.

# Mass Email

**Before You Begin:**

* **Mass Email** is only available if you have a Gmail or Outlook account connected via **Email Integration**.

* Recipients are taken directly from the **Email column**, so make sure this field is filled in before sending.

With **Email Integrations** enabled, you can send emails directly from Sales \& CRM for Jira to multiple recipients at once using the **Mass Email** feature. This function works on any board (**Leads, Contacts, Accounts, or Deals** ) that includes an **Email column**.

## How to Use Mass Email

1. **Select multiple items** on your board by checking their boxes.

2. The bulk action bar will appear at the bottom of the screen.

   * Automatically append your **email signature** if configured in **Email Settings**.

5. Click **Send** to deliver your message to all selected recipients.

**Pro Tips:**

1. Personalize mass emails by inserting column values into your message using the { } Columns button in the email editor. (e.g., `{field.contact}`, `{field.company}`)

# Remove Your Email Accounts From Sales & CRM for Jira

If you want to disconnect your email account from Sales \& CRM, follow these steps:

## What Are Sales \& CRM Work Types?

SalesForge brings CRM directly into Jira with four custom work types --- **Lead** , **Contact** , **Account** , and **Deal** . Each of these functions as a [**Jira work type**](https://support.atlassian.com/jira-cloud-administration/docs/what-are-issue-types/), giving you a structured way to track CRM activities alongside your existing workflows. In practice, this means every CRM record you create (a lead, contact, account, or deal) is represented as a Jira work item.

**Before You Begin**

Only **Jira admins** can customize Jira work types. If you don't have admin rights, ask your Jira admin to perform this setup.

## Configure Work Types

1. **Enable Work Types**

Before you can create and track CRM items, Sales \& CRM for Jira needs to set up its custom work types.

Simply click on ![image-20251017-064044.png](https://docs.devsamurai.com/__attachments/a_bf42ebce6e4ad7d549168c5a8cf83879cd5adfb040bce6949f5b3b7b73b97ae3/image-20251017-064044.png?cb=b3228e5b09b2c173118bc06793fffb02) at the Welcome screen. This will automatically generate the four required Jira issue types:

* **Sales CRM Lead**

* **Sales CRM Contact**

* **Sales CRM Deal**

* **Sales CRM Account**

Review the list of new work types, then click ![image-20251017-064335.png](https://docs.devsamurai.com/__attachments/a_9332aef31d7ded368b18812541c99c7bd3bec342c0fa3728479f8152c015e1fb/image-20251017-064335.png?cb=c7d8fdffa9d4a80e6026bca43607bdc5) to let SalesForge create them automatically. Once you complete the setup, the four new SalesForge work types will be created in Jira and marked as **Available** in ![image-20251017-071032.png](https://docs.devsamurai.com/__attachments/a_d6e6789f06fcbe78a77f91541ef936d8b10ed1334a323f0ed5e688e7b74dee88/image-20251017-071032.png?cb=cb686484bd58b8a43d62ac80f65b710a) **.**

2. **Customize Sales \& CRM Work Types (Optional)**

The work types can also be customized to match your team's terminology and processes. From here, you can:

1. **Name** -- Rename the work type (e.g., change *Sales \& CRM Lead* to *Prospect*).

2. **Description** -- Update the description to better match your team's sales definitions.

3. **Avatar/Icon** -- Select a different image for easier visual identification in Jira.

It is recommended not to delete the default Sales \& CRM work types. Deleting them will permanently remove the work type and its associated workflows and schemes, which may break your CRM setup in Jira.

Inside a **Contact**, you can:

## 1. Manage Activity Feed

You can track all activities related to the **Contact** in the **Activity Feed**. Activities are logged chronologically in the timeline, allowing you and your team to review all past and planned interactions.

### a. Add an Activity

Activities record all interactions and updates related to a **Contact** . These can include **notes** , **meetings** , **calls** , or **emails**.

* **Choose the activity type**: Select from the following options:

  * **Note**: For quick insights or updates.

  * **Meeting**: For logging meetings with the Contact.

  * **Phone Call**: To track phone conversations.

  * **Email**: If sending an email.

#### b. Filter Activities on the Feed

The **Activity Feed** allows you to quickly focus on specific types of interactions with the **Filter** capability. Here is how:

* The feed will instantly update to show only the selected activity types.

* To return to the full view, select **All** or clear the selected filters.

### 2. Send Emails

You can send an email to the **Contact** without leaving Sales \& CRM for Jira.  
You must enable **Email Integration** to send emails directly from Sales \& CRM.

Here is how to send an email from inside a **Contact**:

* Review and fill out the email details:

  * **From**: Choose your email address (if multiple email accounts are linked).

  * **To** : The recipient's email address (this will automatically populate from the **Contact**'s details).

  * **Subject**: Enter the subject of the email.

  * **Message**: Compose your email in the message box using the available formatting options.

* **Visibility Option** : Sales \& CRM for Jira will automatically log your email as an activity in the **Activity Feed** if the **Visibility** option is enabled. This also means that all team members working with the **Contact** can see the email communication and related details in the activity feed.

### 3. View Contact Details

On the right side, you can see the following information about the **Contact** . This information is pulled from the **columns in the Contacts board** . If you hide or show columns in the board view, those changes will be reflected here in the **Contact details**.

To update any information, **simply click on the data** you want to edit (e.g., click the **Type** field to change the Contact's type). After making the necessary edits, press **Enter** or **Tab** to save the changes.

# Working with a Deal

When you open a **Deal** , you are working with it as a :SalesForge_Deal: **Sales \& CRM Deal work item** in Jira. This view allows you to track all relevant details, communications, and activities related to a specific **Deal**.

To open a **Deal** , double-click on the **Deal name** or the **work item key** on the Deals board.

Inside a **Deal**, you can:

## 1. View and Update Deal Stage

* At the top of the **Deal** page, you'll find the **Deal Stage** panel. The **Deal Stage** visualizes where your opportunity currently stands in the sales pipeline.

* By default, Sales \& CRM for Jira provides five stages:

  * New -- A new opportunity has been created.

  * Discovery -- Gathering client needs and exploring requirements.

  * Proposal -- A formal proposal or quote has been shared.

  * Negotiation -- Terms and pricing are being discussed.

  * Closed -- The deal has been finalized (can be marked as Won or Lost ).

# Working with an Account

When you open an **Account** , you are working with it as a :SalesForge_Account: **Sales \& CRM Account work item** in Jira.

To open an **Account** , double-click on the **Account name** or the **work item key** on the**Accounts** **board**.

## 1. Manage Activity Feed

**Activity Feed** records all interactions and updates related to an **Account** . These include **notes** , **meetings** , **calls** , and **emails**, logged chronologically to let you and your team review past and planned interactions.

### a. Add an Activity

On the right side, you can see the following information about the **Account**, such as:

* **Industry** : The industry in which the **Account** operates (e.g., *SaaS / IT Services*).

* **Email** : The primary email address for the **Account**.

Inside a **Lead**, you can:

## 1. View and Update Lead Stage

* At the top of the Lead page, you'll find the **Lead Stage** panel. This shows the Lead's progress through your sales workflow.

* By default, Sales \& CRM for Jira includes four stages:

  * New -- Lead has just been captured and awaits first contact.

  * Attempted to Contact -- Multiple contact attempts have been logged.

  * Contacted -- Successful communication has occurred.

  * Closed -- The lead has been qualified, disqualified, or converted to a **Contact**.

* **Create Polls in CompanyFeed**: You can now create polls directly within the CompanyFeed, making it easier to gather team input without leaving your main feed.

* **Poll Search**: We've added a handy search function so you can quickly find polls by their titles.

* **View Your Vote**: Simply click the "Show My Vote" button to see your choice.

* **Poll Preview**: While creating or editing a poll, a preview pane will show you exactly how it will look, giving you confidence before publishing.

* **Poll Pagination**:

  * Enjoy a seamless scrolling experience with our new scroll-down mechanism.

  * Improved performance means more polls load as you scroll.
