Leave Request Status Guide
Understanding the status of your leave requests and the actions available at each stage helps make the leave approval process smooth and clear. Here’s a breakdown of each status and the actions available for users and approvers.
Request Statuses
1. Pending Status
The leave request has been submitted and is waiting for approval from the assigned manager.
Actions Available:
For Users:
Remove: Users can delete the pending request entirely if they no longer need the leave.
Update: Users can make edits to the pending request to adjust dates, leave type, or add notes.
Note: Users cannot recall the request at this stage, they can only make updates or remove it.
For Approvers:
Approve: Approvers can confirm the leave request, changing its status to Approved.
Reject: Approvers can decline the request, moving it to Rejected status.
2. Approved Status
The leave request has been approved by the manager, confirming the time off for the user.
Actions Available:
For Users:
Recall: If the leave needs to be changed after approval, the user can recall the approved request to edit details and resubmit.
For Approvers:
Revoke Approved: Managers can revoke approval if changes in scheduling or team needs arise, reverting the request to Pending.
3. Rejected Status
The leave request has been reviewed by the manager and declined, so the user’s time off is not approved.
Actions Available:
For Users:
Remove: Users can delete the rejected request if they no longer wish to pursue the time off.
Re-submit: Users can modify the request (e.g., adjust dates or add notes) and re-submit it for a new review.
For Approvers:
No actions are available once a request is marked as Rejected.
4. Recalling Status
When a user recalls an approved leave request, it temporarily moves to the “Recalling” status while the user makes changes. This status indicates that the leave request is being modified and is pending re-approval.
Actions Available:
For Users: No further actions are available once the recall has been initiated.
For Approvers:
Revoke Approved: Approvers can revoke the approved status of the leave if needed, effectively moving it back to a Pending state for further review.
Tip: If you’ve made changes to a request or are waiting on an approval update, click the Refresh button to ensure you’re viewing the most current status. Refreshing regularly helps avoid any miscommunications due to outdated information.
