Working capacity

Permissions: Only users with the App Admin role can change Working Capacity settings in PlanCore.

What is working capacity?

Working capacity is the time a team member is available to work on a given day. PlanCore defines it through reusable working capacity schemes: each scheme specifies the available hours for each day of the week. For example, a full-time scheme may provide 8 hours Monday through Friday, while a part-time scheme may provide 4 hours on those days.

Working capacity by date range

A member’s availability can change over time. Their capacity timeline records which capacity scheme applies to each date range, so past, current, and future capacity reflect the schedule in effect for those dates.

For example, a member could have:

  • 6-hour scheme: January 1–February 28, 2026

  • 4-hour scheme: March 1–May 31, 2026

  • 2-hour scheme: June 1, 2026 onward

How capacity periods work

A capacity period assigns a scheme to a member starting on a specified date. A period ends when the next period starts; the latest period can be Ongoing. Personal periods cannot overlap. When a new period starts, the previous one ends the day before, and future periods remain in place.

For example, adding a reduced 6-hour scheme starting April 1 to an ongoing standard 8-hour period starting January 1 results in:

  • Standard 8-hour scheme: January 1–March 31

  • Reduced 6-hour scheme: April 1 onward

Capacity priority

For each date, PlanCore resolves a member’s capacity in this order:

  1. Personal capacity period covering that date

  2. Team capacity scheme, if no personal period applies

  3. Default capacity scheme, if neither of the above applies

A gap in personal periods does not mean zero capacity: the applicable team scheme or site default is used instead.
