Managing member capacity

  • Only Jira Admins and App Admins can create or update working capacity schemes.

  • Other members can only view the working capacity.

Overview

The Members tab gives you a member-level view of working capacity. From here, you can see which capacity scheme currently applies to each member, review when it started, assign a new capacity period, reassign an existing period, or open the member’s full capacity timeline.

Accessing member capacity

To manage member capacity:

  1. Click on āš™ļø Settings from the sidebar.

  3. Open the Members tab.

Assigning new capacity

Use Assign new when a member’s working capacity changes from a specific date. This creates a new capacity period while keeping the member’s previous capacity history.

To assign a new capacity:

  1. Go to Working Capacity → Members.

  2. Find the member you want to update, then select CleanShot 2026-08-10 at 00.39.42@2x-20260809-173947.jpg Assign new icon in the Action column.

  3. In the Assign new scheme dialog, review the member’s current scheme and start date.

  4. Select the New scheme you want to assign.

  5. Choose the New start date.

  6. Review the Timeline preview to confirm how the new period will fit into the member’s existing capacity timeline.

When the new period starts, ProScheduler automatically ends the capacity period covering that date on the previous day, so the two periods do not overlap or leave an unintended gap.

Reassigning capacity

Use Reassign when you want to change the capacity scheme for a member’s current period without changing its date range.

To reassign a capacity scheme:

  1. Go to Working Capacity → Members.

  2. Find the member you want to update, then select CleanShot 2026-08-10 at 00.50.26@2x.jpg Reassign icon in the Action column.

  3. In the Reassign scheme dialog, review the member’s Current scheme and Date range.

  4. Select the New scheme.

Reassign is available only when the member has a personal capacity period that applies today. If the member is currently using an inherited team or default capacity scheme, the Reassign action is disabled.

Managing the capacity timeline

Use View timeline to review how a member’s working capacity changes over time.

The timeline shows the member’s past, current, and scheduled capacity periods, making it easier to see which capacity scheme applies to each date range.

Opening the timeline

  1. Go to Working Capacity → Members.

Editing the start date of the latest period

You can edit the start date of the newest capacity period.

To change the start date:

  1. Open View timeline for the member.

  2. Select the Start date of the newest period.

  3. Choose a new date.

When you change the start date, ProScheduler automatically adjusts the previous period:

  • If you move the newest period later, the previous period is extended.

  • If you move it earlier, the previous period is shortened.

Deleting the latest capacity period

You can remove the newest capacity period when it is no longer needed.

To delete it:

  1. Open the member’s View timeline.

  2. Find the newest period.

  3. Select X on the newest period.

  4. Confirm the deletion.

When the deleted period directly follows another period, ProScheduler automatically extends the previous period to cover the removed dates.ct View timeline in the Action column.

Manage capacity for multiple members

You can select multiple members in the Members tab and manage their capacity in bulk.

After selecting members, the bulk action bar provides:

Bulk assign new

Use Assign new to create a new capacity period for multiple members at the same time.

To bulk assign a new capacity scheme:

  1. In the Members tab, select the members you want to update.

  2. Select Assign new from the bulk action bar.

  3. Choose the New scheme.

  4. Select the New start date.

  5. Review each member’s Timeline preview. Use the member tabs or arrows to move between selected members.

ProScheduler calculates the new period separately for each member based on their existing capacity timeline.

If a member already has a future scheduled period, the new period is automatically shortened to end before that future period begins. Other selected members without a future period can continue with the new scheme as Ongoing.

Note: The same scheme and start date are applied to all selected members, but the resulting end date may differ for each member depending on their existing capacity periods.

Bulk reassign

Use Reassign to move multiple members to a new capacity scheme from today while preserving their past capacity.

To bulk reassign members:

  1. In the Members tab, select the members you want to update.

  2. Select Reassign from the bulk action bar.

  3. Choose the New scheme.

  4. Review the selected members and any warning messages.

For each eligible member, ProScheduler ends the current personal capacity period yesterday and starts a new period using the selected scheme today. Past capacity remains unchanged.

Members who do not have an active personal capacity period are skipped and are not changed.

Bulk view timeline

Use View timeline after selecting multiple members when you want to review their capacity histories without opening each member separately.

  1. Select the members you want to review.

  2. Select View timeline from the bulk action bar.

  3. Use Previous and Next to move between the selected members.

You can review each member’s periods and manage the newest period from the same dialog.
